How to Easily Retrieve Your Report Card: All the Steps to Follow

An employer asks you for your high school transcripts. A university requires a report card from the third year to validate an equivalence. You open your drawers, and nothing. This situation affects many former students, sometimes years after they have finished their schooling. Knowing the steps to retrieve your school report helps avoid wasting weeks searching for the right contact person.

Lost school reports: how the ENT changes the game

Before contacting anyone, check if your reports are still accessible online. For several years, digital work environments (ENT) like Pronote or Mon Bureau Numérique have archived school documents well beyond the current year.

Specifically, if you were recently enrolled, your reports are often still available on the ENT of your former institution. You just need to log in with your old credentials or reset them via EduConnect, the authentication portal of the Ministry of Education.

This option is the quickest. No mail, no postal delays, no paper forms. You can download a PDF in just a few clicks. For primary and secondary education, the Unique School Record (LSU) centralizes periodic assessments from CP to the third year. Parents can access it through their EduConnect account as long as the child is enrolled.

The limitation of this method lies in the duration of digital storage. Each academy manages its own servers and its own archiving rules. A final year report from three years ago will likely be online. A sixth-grade report that is fifteen years old, much less so.

Contact the school secretary

When the ENT yields nothing, the most reliable reflex is to write to the secretary of the school, middle school, or high school. Schools keep student records for a variable duration, but it generally covers several years after the student has left. To better understand the steps to retrieve your school report, it is useful to prepare your request in advance.

Prepare your request to save time

A secretary handles dozens of requests each week. The more precise your message, the faster the response. Gather these elements before contacting them:

  • Your name, first name, and date of birth as they appeared in the school record
  • The school years concerned and the class attended (for example: 2017-2018, second year)
  • A copy of your ID, often requested to verify that you are indeed the former student
  • The reason for the request (enrollment, application, administrative file), which helps the secretary prioritize

Prefer email over phone. An email leaves a written record and allows staff to process your request without urgency, between tasks. If you cannot find the school’s address, the official directory of the Ministry of Education lists all middle and high schools in France with their contact details.

When the institution has closed or merged

Restructuring of the school map leads to closures and consolidations. If your former middle school no longer exists, its archives have been transferred to the institution that absorbed it or to the rectorate of the academy. Contact the rectorate specifying the name of the former institution and its municipality. The examination and competition service will be able to guide you.

Rectorate, DSDEN, and departmental archives: recourse for old reports

You are looking for a report that is over ten years old, and the institution cannot find anything in its current archives. Two options then open up, depending on the age of the document.

The Departmental Directorate of National Education Services (DSDEN) keeps certain school records, particularly those related to examinations. For a transcript from the diploma or baccalaureate, the DSDEN or the rectorate are the competent contacts. Send them a registered letter with the same information as for the secretary, adding the exact name of the institution attended.

For very old documents (several decades), the departmental archives take over. Public institutions periodically transfer their administrative records to the departmental archives. The search takes longer, sometimes several weeks, but it allows you to find reports that no one else keeps anymore.

Parcoursup and Cyclades file: retrieving exam-related transcripts

Do you need a transcript from the baccalaureate or a document submitted via Parcoursup? These platforms operate differently from traditional ENTs.

Cyclades is the portal that manages registrations for national examinations (diploma, baccalaureate, CAP). Your Cyclades account remains active after the exam, and you can download your transcript for a certain period. If the account has expired, the request for a duplicate goes through the rectorate.

For Parcoursup, the first and final year reports you submitted during your application are not archived indefinitely on the platform. Parcoursup does not replace a school archive. If you need these reports after your file has closed, you must return to the high school or the rectorate.

Diploma and report: do not confuse the procedures

A school report and a diploma are not requested in the same place. The report is an internal document of the institution. The diploma (diploma, baccalaureate, BTS) is issued by the state.

To obtain a certificate of success or a duplicate diploma, the procedure goes through the rectorate of the academy where you took the exam. A report does not prove the attainment of a diploma, and vice versa. In an application or naturalization file, both documents may be required separately.

Keep a digital copy of each document retrieved. A PDF scan stored in a secure space will save you from having to repeat these steps in a few years.
